Sync

Every check, visible before the shift

Sync, our own platform, holds every worker's profile, training records and compliance documents. It tracks expiry dates in real time, so nobody with lapsed checks can be booked.

You can view a worker's profile before they arrive, approve timesheets after each shift and download records whenever you need them for an audit or inspection.

Questions

Compliance questions

Can we see a worker's checks before the shift?

Yes. Every worker's profile, training record and compliance documents are visible in Sync before they arrive, and you can download them for your records. That includes their enhanced DBS, right to work, identity, two references, occupational health clearance, mandatory training certificates and, for nurses, their NMC registration. You do not need to ask for paperwork on the day: managers can check everything from a phone or computer in a few seconds, which also helps at handover and during inspections.

What happens when a document expires?

Sync tracks every expiry date, from DBS updates and training certificates to visas and NMC revalidation, and reminds the worker well in advance so they can renew in time. Anyone whose checks lapse is automatically blocked from being booked until the renewed document has been reviewed by our compliance team. This means you never receive a worker with out-of-date checks, and you do not have to keep your own spreadsheet of agency staff expiry dates.

Are your workers employed through PAYE?

Yes. All our healthcare staff are paid through PAYE, with holiday pay and a workplace pension. We do not use umbrella companies or personal service companies. This keeps things simple and compliant for you, gives workers clear and fair pay, and means you can be confident about employment status and IR35 when using our staff. Our invoices show each shift, worker and rate, so your finance team can see exactly what you are paying for.

Can you support our CQC inspection?

Yes. We can provide a compliance pack for every worker who has worked in your service over a given period, showing their checks, training and the shifts they worked. Inspectors often ask how a service makes sure agency staff are safe and properly inducted, and having this information ready helps you answer with confidence. We can also share our own recruitment and compliance procedures if you need them for your records.

How do you check nurses are registered?

We check every nurse's NMC registration on the NMC register when they join us and before every booking, including any conditions or restrictions on their practice. Sync records the check and the nurse's revalidation date, so we can make sure their registration stays current. If anything changes, the nurse cannot be booked until we have reviewed it. You can see the registration details on each nurse's profile in Sync before the shift.

What training do your workers have?

Every worker must have in-date mandatory training before they can be booked, including moving and handling, basic life support, safeguarding adults and children, infection prevention and control, fire safety, health and safety, food hygiene, and information governance. Specialist training, such as dementia care, medication administration, PEG feeding or tracheostomy care, is recorded against each worker, so we can match the right skills to your shift.
